The Impact Issue #124: Where AI grant research falls short (and what helps)

Hi! Welcome to The Impact

If you're like a lot of the grant professionals we speak with, you're experimenting with using ChatGPT or Claude to find grants.

Take Julie, for example, who does a quick search on ChatGPT to see if she can find new funding sources for her after-school program.

Back comes a tidy list: five grants with real-sounding names and deadlines. She spends the next 45 minutes looking into them more. One closed last spring. Two don’t fund her state. One doesn’t appear to exist. The fifth is real, but it’s barely a fit.

This is the quiet problem with using AI to find grants. It answers instantly and confidently, using a general assistant to search the open web. It can’t tell a live opportunity from a dead one, or a real match from one that is completely made up.

None of that means AI is useless for grant seeking. It means the tool is only as good as what you point it at.

Today we’re breaking down how you can use AI intentionallyto find grants you can actually win, without the afternoon spent chasing ghosts.

Don't Miss Out!

AI is now part of everyday grant work. Nonprofits are using it to research, draft, and polish applications. And as applications get easier to produce, more funders are going invite-only, which makes your existing relationships count more than ever.

On Wednesday, October 14th at 2 PM ET, three funders join us to share where they stand on AI and what it takes to earn funder trust today: Tyler Hobbs (Marie Lamfrom Foundation), Celia Swagel (Tepper Foundation), and Tim Kashani (Apples & Oranges).

You’ll walk away knowing:

  • How funders actually view AI in grant work, including the uses they’d recommend and the ones that give them pause.
  • A realistic path onto a funder’s radar, even when the funder is invite-only.
  • The habits that turn one grant into an ongoing relationship, and earn a renewal year after year.

Come ready with the questions you’ve always wanted to put to a funder directly, there’s live Q&A.

Pitfalls and Pointers

AI can accelerate your grant search, or it can send you down rabbit holes with total confidence.

⚠️ Pitfall: Letting AI search the open web for your grants

Asking a general AI assistant like Claude or Chatgpt “what grants should we apply for X program?” can turn up some results. But a model searching the open web is working from whatever it can reach - it doesn't have the context it needs to turn up strong fits.

  • AI can't tell which opportunities are still open, so it surfaces grants that closed months ago and deadlines that have already passed.
  • AI doesn’t know your organization, so it can’t judge whether a funder matches your geography, your eligibility, or your program.

💡 Pointer: Give AI a verified source, and keep the judgment yours

You don't have to completely abandon AI for grant seeking. But you might want to change what it draws from and stay in the driver’s seat on the calls that matter.

  1. Ground it in verified, up-to-date data. Point AI at a source of real, open, human-checked opportunities rather than the open web. Your research can starts from grants that actually exist and are actually open.
  2. Give it your context. Feed it your program, eligibility, and priorities so it judges fit for your actual organization, not a generic nonprofit in the abstract.
  3. Teach it your qualification or disqualification criteria. The real time-saver is ruling out the grants that AREN'T a fit. Encode how you decide a grant is not a fit, so AI can turn a list of a hundred into a shortlist worth your attention.
  4. Keep the final call human. Use AI strategically to sort and flag, then verify before you act. It’s a research partner, not the decision-maker.

The goal isn’t AI that finds your grants for you. It’s AI + a verified source can hand you a shortlist you can trust, and gives you back the hours you’d have spent building it.

Benchmarking Survey: Help Build the Grant Maturity Model (and Win $1,000)

We're building a Grant Maturity Model to show how strategic grant teams operate, give you data to make the case for stronger systems, and benchmark your pay against your peers.

Take the survey and you'll get:

  • Your placement on the maturity matrix, plus the full report on October 29, so you know where you're strong and where to grow.
  • Data to make your case for better systems, more support, and a seat at the table, including what grant pros like you actually earn.
  • A shot at $1,000 for your nonprofit (or one of your choice) when the survey closes.

Takes about nine minutes. All responses are anonymized and aggregated, and salary questions can be skipped.

Know a colleague who runs grants? Forward this along. The more teams that take part, the stronger the benchmarks for everyone.
