⚠️ Pitfall: Having Too Tight of a Turnaround for Grant Deadlines
You may have the capacity to write a grant in a few weeks, but what about getting the budget approved from the finance team? Can your program team get the data ready?
Your partners have varying levels of capacity, and they may be unable to meet your tight turnaround. One missed request can jeopardize your ability to complete your grant application on time.
When planning your timeline, don’t fail to take into account the other people who may need to contribute to the application.
đź’ˇ Pointer: Build at Least a Week Buffer Into Your Timeline
Set your own internal deadline to one week and one day before the grant’s actual final deadline. This will help you:
- Account for unforeseen delays
- Track down missing information
- Undergo one last final review and approval with fresh eyes
Set internal deadlines for your team members too! Don’t just tell them when the grant is due. Instead, tell them that you need their input and review by a certain date. Add these padded deadlines to your grant writing calendar for all to see. Otherwise, your partners may push it to the last minute and delay the process!

🏆 Christian Postel on Building a Grant Timeline
Christian Postel, CEO of Lexington Leadership Foundation, understands the stress that grant deadlines can bring, especially if you’re not adequately prepared. He’s found the best way to tame the chaos is to have a well-structured grant timeline.
Here’s his expert advice:
- Work backwards. Identify the grant submission deadline, and set your internal deadline to be at least 8 days before. That’s a week to put the final touches and one extra day to submit.
- Block your tasks in the pre-award, award, and post-award phases. Assign clear deadlines to each task and plot them on a calendar.
- Communicate deadlines to key stakeholders. This will ensure your partners know what’s expected of them, and they can share any conflicts they may have before they become an issue.
- Check in on a task’s progress. Just because the grant timeline is at the top of your mind for you doesn’t mean that it is for everyone else. Don’t hesitate to check in with your team on their progress and identify any barriers to execution.
Your grant timeline should be comprehensive and include all deadlines and deliverables to keep you and your team on track.
