As nonprofit professionals, it’s so easy to get stuck in a routine. We complete tasks and processes a certain way because we’ve always done them like that.

We know they work, so we forget to question if there’s a better way and end up defaulting to manual task completion—which can eat up a lot of time and resources.

đź’ˇ Pointer: Automate Routine Tasks to Help Free Up Capacity

Automation can be your best friend when you want to do more with less. Consider the following steps as you look to integrate more automation into your workflow.

  • Assess your manual processes: Common examples include regular reporting, donor outreach, form emails, and data analytics. These processes often only require you to click a few buttons or manually pull information together to update.
  • Review what tools and resources you already have that can help: You don’t always have to break the bank by investing in new tools. Look at what you already have. There could be automation capabilities in your tools that you’re missing out on just because you’ve never explored them.
  • Set up the automation: Schedule reports to run automatically or send autogenerated emails after a gift. Create pivot tables with autofed data to help with your data analytics. All of these efforts will help save you time and energy in the long run.
  • Check in on the process: Routinely check in on your automation processes to ensure they’re running smoothly. You can build fail-safes into the process, like BCCing yourself on emails or getting alerts when data feeds are compromised. This will help you catch errors before they become a problem.

ROI isn’t just your return on investment. It’s also a way to measure whether your organization’s grant strategy is thriving or lacks momentum.

  • Relevant: You’ve demonstrated the community's need, including the gaps your organization will serve.
  • Optimize: You’ve developed a strong infrastructure and have systems in place to support continued growth and the regeneration that grants can provide.
  • Interact: You’ve established strong relationships and are fostering meaningful connections within the community and with funders.

Once you have your ROI in place, you can use it to become a PRO through preparation, realistic expectations, and organization.

  • Preparation: Are your programs clearly identified? Do you have supported research and a concise explanation of need? Applying for funds before these things are in place will just serve as a lesson of what not to do.
  • Realistic Expectations: Are you ready for the time it takes to sort through potential funding opportunities? A strong list of prospects doesn’t automatically equal funding. You’re not going to win every grant, so make sure that your team and your board have realistic expectations about what you can accomplish.
  • Organization: Do you have a place to keep and update information? Do you have a person dedicated to starting relationships with potential funders? The more organized you are, the easier it will be to manage multiple grants.
