Pitfalls and Pointers

⚠️ Pitfall: Having No Baseline to Measure Progress Against

When you see an issue that you want to solve, it can be tempting to just jump in and start work.

However, if you don’t capture a baseline, you can’t measure your progress or accurately communicate your impact.

💡 Pointer: Establish a Meaningful Baseline Through Consistent Testing

One of the best ways to measure progress is through pre- and post-testing. Here are some tips to help set up a successful evaluation framework:

  • Determine your desired outcome, then work backwards. Having clear learning goals and questions will help you stay on track with what you’re hoping to measure.
  • Audit your data. Look at what data you are already collecting and identify what your gaps are. Make sure you’re clear on the type of pre- and post- information you need to collect to capture consistent data.
  • Collaborate with your teams. Work with your program teams to stay aligned on what data matters most. Schedule regular check-ins to make sure there aren’t any changes you need to account for.
  • Test and learn. If you’re not seeing progress, don’t be afraid to dive into why and make changes. Then, compare your results year over year to see which assessments are most valuable.

Expert Perspectives

🏆 Jennifer McKenzie on Leveling Up Your Evaluation Framework

Jennifer McKenzie, founder and CEO of Organized Synergy, has more than a decade of experience helping nonprofits win more grants. She believes a strong grant evaluation framework can be a big indicator of grant readiness.

Here’s her expert advice:

  • Count everything. Don’t just quantify your activities. Instead, have plans to measure outputs and true outcomes. Here’s an explanation of grant outcomes and how to measure them.
  • Walk the talk. Regularly evaluate if you’re delivering what you promised, if it led to meaningful impact, and the overall satisfaction rate. If you’re falling short in any of these areas, get to the root cause and close the gap.
  • Don’t reinvent the wheel. Many times, funders have preferred tools or reporting formats when it comes to grant evaluation. Ask them or former grantees how they prefer to receive information. Using trusted methods will help you build credibility and foster trust with your funders.

Your evaluation framework is a core aspect of your overall program design, so it’s critical that you get it right.
